TERMS & CONDITIONS
- The Hirer shall, during the period of the hiring, be responsible for: supervision of the premises, the fabric and the contents; their care, safety from damage however slight or change of any sort; and the behaviour of all persons using the premises whatever their capacity, including proper supervision of car parking arrangements so as to avoid obstruction of the highway. As directed by the Clerk, the Hirer shall make good or pay for all damage (including accidental damage) to the premises or to the fixtures, fittings or contents and for loss of contents.
- The Hirer shall not use the premises for any purpose other than that described in the Hiring Agreement and shall not sub-hire or use the premises or allow the premises to be used for any unlawful purpose or in any unlawful way nor do anything or bring onto the premises anything which may endanger the same of render invalid any insurance policies in respect thereof nor allow the consumption of alcohol thereon without written permission.
- The Hirer shall obtain all licences which may by law be required in connection with any entertainment which shall take place in the property during the period of hire.
- The hirer of the property shall terminate and the premises vacated by 11.00pm unless prior approval of the Council has been obtained for an extension of the use.
- The Halls shall not be used for ball games unless using a foam ball and shoes with non marking soles.
- The Council reserves the right to amend the Scale of Charges and/or implement any additional conditions of hire at its sole discretion.
- The Halls are not carpeted and Hirers should take appropriate care and provide the necessary floor cover should they need to walk without shoes or sit on the floor.
- The Hirer shall indemnify the council the council against (a) the cost of repair of any damage done to any part of the premises including the curtilage thereof or the contents of the premises (b) all claims, losses, damages and costs in respect of damage or loss of property or injury to persons arising as a result of the use of the premises (including the storage of equipment) by the Hirer, and (c) all claims, losses, damages and costs suffered or incurred as a result of any nuisance caused to a third party as a result of the use of the premises by the Hirer.
The Community Council is insured against any claims arising out of its own negligence.
- The Community Council accepts no responsibility for any stored equipment or other property brought on to or left at the premises, and all liability for loss or damage is hereby excluded. All equipment and other property (other than stored equipment) must be removed at the end of each hiring or fees will be charged for each day or part of a day at the hire fee per hiring until the same is removed.
- The Hirer must report all accidents involving injury to the public to the Clerk as soon as possible and complete the relevant section in the premise accident book. Any failure of equipment belonging to the Community Council or brought in by the Hirer must also be reported as soon as possible.
- The premises should be left in a clean condition. Chairs and tables stacked and returned to same areas as when the premises were entered. All unsold jumble, bric-a-brac, books and other items, such as exhibition notices/posters leaflets etc. Should be taken away.
Only disposable items to be placed in the rubbish/recycling bins should be normal refuse, all other items must be taken away by the Hirer.
Any damage caused in these premises must be reported either to the Caretaker on the day it happened or by telephone/writing to the Clerk as soon as possible. Failure to comply with the above conditions may result in an additional surcharge to the agreed Hirer’s fee being levied by the Council.
- PAYMENT For one off bookings, an application will only be confirmed when the application form plus payment is received 14 days before the hire. Please note that the minimum hire period is two hours.
For regular Hirers the appropriate fee shall be paid to the Council as it is called for by account on a monthly/quarterly basis as agreed.
Payment can be paid by Bank Transfer. Cheques should be crossed and made payable to Llantrisant Community Council and posted to the Clerk, Llantrisant Community Council, Parish Office, Newbridge Road, Llantrisant, CF72 SEX.
- Cancellations: Hirers will be charged in full for any cancellations made less than 48 hours before the period of hiring.
